What is an event shuttle service?
An event shuttle service is a continuous loop of vehicles that moves delegates between fixed points during an event — most often between their hotels and the conference venue. Rather than booking individual transfers, you run a timetabled loop so guests can travel whenever they are ready.
How many delegates can you shuttle for a conference?
There is no fixed ceiling. We scale the number and size of vehicles to the headcount and the timetable — a 60-delegate retreat might run on two minibuses, while a 400-delegate congress needs a coordinated fleet of coaches running a tight loop. We size the operation around your peak demand.
Do you provide a coordinator on the ground during the event?
Yes. Larger shuttle operations run with a dispatcher and on-site coordinators at the key pick-up points, holding branded signage, checking delegates onto vehicles and keeping the loop on time. One contact stays reachable for the organising team throughout.
Can the shuttle handle several hotels at once?
It can. Multi-hotel pick-up is one of the most common patterns we run. We build a route that calls at each hotel in sequence, or assign dedicated vehicles per hotel, depending on distances and delegate numbers — and publish a clear timetable for guests.
Will you cover late-night returns after a gala dinner?
Yes. Gala and evening movements are planned as part of the shuttle schedule, including staggered late-night returns so guests can leave when they wish rather than all at once. The last vehicle waits until the final guests are ready.
Can you brand the shuttle vehicles for our event?
We provide branded signage at pick-up points and on vehicles as standard. Fuller vehicle branding — wraps or window graphics — can be arranged through our event management team alongside the rest of your event collateral.
